Director of Operations

Position Description

General Summary:

The position performs complex and diverse responsibilities in supporting the Foundation team’s fundraising initiatives and revenue-generating activities and awarding scholarships. This includes managing and guiding the internal team and assisting in the planning and execution of initiatives along with financial and accounting responsibilities. Provides administrative and operational support to the team to ensure donor satisfaction and bolster organizational efficiency and effectiveness in accordance with Foundation policies and procedures. Performs other duties as assigned.

Job Specifications:

  1. Work requires advanced communication skills, mathematical/accounting skills and/or technical training normally acquired by completing the first two years of college, technical or business school. Bachelor's degree preferred.
  2. Requires knowledge of general policies and procedures followed in a specific organization component as well as advanced skills needed to perform complex technical and administrative work. This level of knowledge is normally acquired during more than three years of work-related experience.
  3. Analytical ability is required.
  4. Interpersonal skills are needed to work closely with people at all levels to gain their cooperation and support. Communication skills, both written and oral are needed as well as the ability to listen and analyze information and to present information in an understandable manner.
  5. Mastery of Microsoft Windows computer environment and Microsoft Office, including Teams. In addition, understand the Foundation’s donor software, Blackbaud Raiser’s Edge.
  6. A valid driver’s license is required.
  7. Requires a high level of confidentiality.

Working Conditions:

  1. Normal office environment with little exposure to noise, dust, temperature extremes, etc. Uses computer 51%-80% of work time.
  2. Lifts or moves up to 20-40 pounds 6%-20% of work time.
  3. Exposure to hazards of driving resulting from the necessity to travel to on and off-campus events 6%-20% of work time.

Reporting Relationships:

Reports to the Foundation Executive Director.

Essential Functions:

  1. Office manager and Foundation facility manager.
  2. Guide and direct the internal team.
  3. Collaborates with colleagues to assist in the organizing and execution of fundraising events and projects with a focus on increasing participation, revenue, and engagement from donors, prospects, volunteers, faculty, retirees, and other key constituents.
  4. Manages and coordinates the Warren & Velda Wilson Foundation, including scholarship programs, Board prep, and maintaining accurate files.
  5. Assists in the awarding process of scholarships from the CCC Foundation to Central Community College. Includes the process of annual statements for the endowed restricted and restricted funds at the Foundation.
  6. Supervises the day-to-day activities and workflow of the Administrative Analyst including the managing of the acknowledgement letter process.
  7. Provides accounting support for budgeting and the expense process along with other areas of fiscal control and fundraising management.
  8. Engages regularly with CCC employees and retirees providing a high level of customer service.
  9. Coordinates and assists in several operational functions such as prep and minute-taking for Foundation Board meetings, Committee meetings, policy and procedures work, and logistical work using various technology and software programs.
  10. Assists with some marketing efforts providing proofing and reports for the Foundation website and annual report.
  11. Involved in many internal staff and Foundation meetings. Acts as recording Secretary to the Foundation Board of Directors Secretary and the Board of Directors of the Foundation Place Condo Association.
  12. Performs several functions within Raiser’s Edge including collecting and researching data, list management, gift reports, fundraising database access, and updating constituent records.
