Part-Time Programs Coordinator

Position Description

General Summary:

The Programs Coordinator performs a variety of detailed and relationship-centered responsibilities in support of the Central Community College Foundation’s scholarship and donor engagement efforts. This position is responsible for the coordination, administration, and promotion of the Warren & Velda Wilson Foundation Scholarship Program, which awards approximately 200 scholarships annually to students from South Central Nebraska attending Nebraska colleges.

In addition, the position supports the management of other Foundation scholarship programs and plays a key role in enhancing donor experiences, stewardship, and cultivation efforts. The Programs Coordinator ensures accuracy, timeliness, and a high level of service in all scholarship-related processes while supporting the Foundation’s mission to expand student opportunity. This position may also assume responsibility for additional programs as determined by the Foundation. Performs other duties as assigned.

Job Specifications:

  1. Work requires strong organizational, communication, and administrative skills typically acquired through completion of one to two years of college, technical, or business school, or equivalent experience.

  2. Requires knowledge of general office practices and procedures, with the ability to manage multiple projects and detailed processes. This level of knowledge is normally acquired through two or more years of related work experience.

  3. Strong attention to detail and analytical ability is required, particularly in managing data and scholarship processes.

  4. Interpersonal skills are essential to work effectively with students, donors, board members, reviewers, and colleagues. Strong written and verbal communication skills are required, along with the ability to present information clearly and professionally.

  5. Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) is required. Experience with scholarship management platforms and donor systems, including Blackbaud’s Raiser’s Edge, is preferred.

  6. A valid driver’s license is required.

  7. Requires a high level of discretion and confidentiality in handling sensitive student and donor information.

Working Conditions:

  1. Normal office environment with minimal exposure to noise, dust, or temperature extremes. Uses a computer 51%–80% of work time.

  2. Occasionally lifts or moves items up to 20 pounds.

  3. Occasional travel to on- and off-campus meetings or events may be required.

Reporting Relationships:

Reports to the Foundation Director of Operations.

Essential Functions:

  1. Coordinates and administers the Warren & Velda Wilson Foundation Scholarship Program, including application processes, selection coordination, communication with applicants and high school counselors, and maintenance of accurate records.

  2. Develops and implements communication and strategies to promote scholarship opportunities and increase applicant engagement.

  3. Recruits, trains, and supports scholarship reviewers to ensure a consistent, fair, and effective selection process.

  4. Manages and administers scholarship award software, ensuring accurate setup, data integrity, reporting, and user support.

  5. Assists in the coordination and administration of additional Central Community College Foundation scholarship programs, ensuring accuracy, compliance, and timeliness.

  6. Maintains and updates scholarship records and donor data within the Foundation’s database systems.

  7. Supports scholarship awarding processes, including communication with recipients, tracking of awards, and coordination with college staff.

  8. Assists in the development and execution of donor stewardship and cultivation efforts, including scholarship recipient communications, donor reports, and engagement activities.

  9. Coordinates donor experience initiatives related to scholarship programs, including events, recognition, and reporting.

  10. Collaborates with Foundation staff to ensure alignment of scholarship activities with fundraising and donor engagement strategies.

  11. Provides exceptional customer service to students, donors, board members, reviewers, and community partners.

  12. Assists with preparation of reports, correspondence, and materials related to scholarship programs and donor engagement.

  13. Supports Foundation events and activities as needed, particularly those connected to scholarships and donor stewardship.

  14. Performs some data entry, tracking, and reporting functions within Raiser’s Edge or other systems to ensure accurate and up-to-date records.

  15. Participates in Foundation staff meetings and contributes to continuous improvement of scholarship and donor engagement processes.

  16. Assumes responsibility for additional programs and initiatives as assigned by the Foundation.
